Esports Room

Located on the first floor of Sato Commons, the eSports Room provides a welcoming and competitive gaming environment for students. The space supports both open recreation and the Club Esports team, offering opportunities for casual play, skill development, and team competition.

The room features 12 gaming PCs along with multiple gaming consoles, allowing students to enjoy a wide variety of games across platforms.

About the Space

The eSports Room is designed to support both recreational gaming and competitive play. During open recreation hours, all currently enrolled students are welcome to utilize the space. At select times, the room may be reserved for Club Esports practices, matches, or tournaments.

Esports Room Policy Guidelines

Purpose & Mission

The Esports Room exists to provide a welcoming, inclusive, and engaging environment where all 黑料不打烊 students can enjoy esports and gaming. The space is open to all students, regardless of experience level, skill, or club membership status, during posted open hours, supporting both casual players and competitive gamers.

In addition to serving the broader student body, the Esports Room is the home of the聽黑料不打烊 Esports Club, supporting team practices, community events, and competitive development while聽maintaining聽access聽for聽the wider campus community.

Overall, the Esports Room聽is dedicated to providing聽a safe, inclusive, and enjoyable gaming environment that enhances student life, strengthens community, and supports the growing culture of esports on campus.

Eligibility & Access

Any聽黑料不打烊 student聽may access the Esports Room during posted open-rec hours. The space is designed to support all levels of gaming interest鈥攆rom casual players to competitive team members鈥攁nd is open to all students regardless of experience level or Esports Club affiliation.

The Esports Club is open to all students; however,聽room access may be limited at times聽to accommodate officially scheduled club activities such as team practices, tournaments,聽special events, and match broadcasts. When these events overlap with standard open-rec聽hours, access for general users may be restricted.
Under typical weekly operations, the Esports Room is open聽12:00 p.m. 鈥 5:00 p.m., seven days a week.

Hours may vary for reasons including, but not limited to:聽staffing availability,聽events hosted in the room,聽Esports Club tournaments or matches,聽university schedules or facility adjustments.

Students should check the聽weekly schedule posted near the room entrance, and聽the聽Campus Recreation website聽for the most up-to-date hours.

  • To use the room during open-rec hours, students must:
  • Present their Phoenix Card (student ID)
  • Check in with the Esports Room Monitor聽upon arrival.
  • Students must sign into gaming PCs using their聽university email and password.

Guest access is not聽permitted, except during university-approved Esports Club events where guests are explicitly allowed.

Reservations & Time Limits

Any inquiries about reserving the Esports Room should be directed to:聽clubsports@elon.edu

All reservation requests will be reviewed by Campus Recreation staff, and approval is dependent on multiple factors.

The Esports Room may be reserved聽only聽by:聽University-recognized student organizations,
University departments or offices,聽Faculty for academic classes or course-related activities.

Individual students or informal groups may not reserve the room.

Room reservations are approved based on:聽the聽open-rec schedule,聽the聽Esports Club practice and tournament schedule,聽staffing availability,聽and the聽nature of the activity聽being聽requested.

Events that conflict with open-rec聽hours or scheduled club activities may not be approved.
Students聽participating聽in open rec聽must vacate the Esports Room聽no later than the time the Room Monitor closes the facility聽or聽when scheduled Esports Club practices, tournaments, or events聽reservations begin.

Room Monitors will provide advance notice when time is ending, and students are expected to save work, log out, and exit promptly.Large or high-impact events may require聽additional聽coordination, staffing, or notice.

Expectations for Behavior
General Conduct
All students using the Esports Room are expected to contribute to a respectful, inclusive, and positive gaming environment. Behavior that disrupts others or creates a hostile atmosphere is not聽permitted.

The following behaviors are聽strictly prohibited:

  • Cussing, yelling, or using insulting or aggressive language.
  • 聽Harassment or belittling comments聽directed at any individual.
  • Targeted comments or slurs聽related to race, religion, ethnicity, gender, sexual orientation, disability, or any other protected identity.
  • Any behavior that causes a noticeable disturbance in the room.
  • Misuse or mistreatment of equipment, including slamming peripherals, intentionally damaging equipment, or engaging in any purposeful destructive behavior.
    • Students are expected to treat all Esports Room equipment鈥攊ncluding PCs, keyboards, mice, headsets, controllers, and furniture鈥攚ith care.
    • Slamming, throwing, hitting, bending, or intentionally damaging equipment聽will result in immediate removal from the room.
    • Students may be held financially responsible for damages depending on the severity and circumstances.

If a student causes a disturbance (e.g., loud yelling, profanity, disruptive conduct), the Room Monitor will issue a聽verbal warning聽and direct them to stop.

If the behavior聽continues, the student will be聽asked to leave the room聽immediately.

The following behaviors result in聽immediate removal from the room, with no warning聽required:

  • 聽Directly yelling at, threatening, or belittling another person.
  • Using any language that targets a protected identity (race, religion, ethnicity, gender, sexual orientation, etc.).
  • Intentional misuse or destruction of equipment.
  • Any form of harassment or discriminatory behavior.

If a student is asked by a Room Monitor to leave the Esports Room for behavioral reasons:

  • They聽cannot聽return to the room for the rest of the day.
  • They聽will have one week to meet with the聽Assistant Director of Sport Programs聽if asked or their access to the room may be suspended until they have a meeting.
  • At these聽meetings there will be a discussion of what happened, how the behavior should be corrected, and a plan will be put in place聽if they are to be suspended from the room.
  • Depending on the nature of the incident, the matter may also be referred to the聽Office of Student Conduct, as all students聽are required to聽follow聽黑料不打烊 policies, standards, and codes of conduct聽while using the Esports Room.
  • Serious or repeated violations may result in extended or permanent loss of access to聽the space.

Equipment Use

To protect all equipment in the Esports Room:

  • No food or drinks may be placed on desks, stations, or anywhere near computers, consoles, or peripherals.
    • If a Room Monitor believes food or drink is posing a risk to equipment, they may ask the student to聽move or remove the item, and students are expected to comply聽immediately.
  • Students must handle all room equipment,聽including keyboards, mice, controllers, headsets, microphones, and cables聽with care.
    • Do not聽pull-on聽cables or connectors.
    • Do not drop, slam, twist, or force peripherals.
  • Students should report any malfunctioning equipment to the Room Monitor聽immediately.

Hardware, Software & Settings

  • Students may not tamper with or alter聽hardware, internal settings, system files, cables, network configurations, or security settings on any device.
  • Students may not install unauthorized software,聽modify聽equipment, or聽attempt聽to bypass administrative controls.
  • Personal devices may not be plugged into PCs without Monitor approval.
  • All PCs have a聽selection聽of games pre-downloaded. If a student wishes to download an聽additional聽game:
    • They must request approval from the聽Room Monitor.
    • Students must refer to聽Section聽5聽(Game Content & Appropriate Use)聽to ensure the game is聽permitted.
    • Unauthorized downloads or聽attempts聽to install software may result in immediate suspension.

To聽maintain聽performance and聽security;聽the Esports Room PCs undergo聽regular system resets and drive wipes.

When this occurs,聽all installed games and personal settings are removed.

Students may need to聽re-download approved games聽if they are not part of the standard preloaded library.

Room Monitors can聽assist聽with reinstalling approved titles as needed.

Students should not expect personal software, saved configurations, or custom settings to persist between sessions.

Students may bring their own keyboards, mice, controllers, or headsets for personal use.

Some equipment in the room is owned by the聽Esports Club.聽Usage聽of club-owned keyboards, mice, headsets, or other peripherals is聽determined聽solely by聽club officers.
Room Monitors will follow club guidelines for access and use.

Game Content & Appropriate Use

  • Only games rated聽E (Everyone), E10+ (Everyone 10+), or T (Teen)聽may be downloaded or played on Esports Room PCs.
    • Games rated 鈥淢ature (M)鈥 are not allowed in the Esports Room unless聽preapproved.
    • Students can speak to a room聽monitor聽about how to request a game to be聽approved.
      Before a game is downloaded:
  • The聽Room Monitor must verify the game鈥檚 ESRB rating.
    • If the rating/ content聽cannot be confirmed or is unclear, the download will not be聽permitted.
    • Any attempts to bypass this approval process may result in disciplinary action.
  • Games played through a web browser are聽permitted聽only if they are聽appropriate for聽all audiences.
    • Browser games聽containing聽mature content, violence, gambling elements, or any content equivalent to an M rating are聽strictly prohibited.
    • Room Monitors may review browser games if needed and may direct students to stop playing a game at any time.
  • Students may not:
    • Attempt to hide or misrepresent the rating of a game, play versions or mods of games that introduce mature content, access external sites intended to download or stream M-rated content.
  • Violation of this policy may result in immediate removal from the room and potential suspension.

Safety & Security

Students聽are responsible for聽the security of their own personal items while using the Esports Room.

Campus Recreation and the Esports Room staff are not responsible聽for lost, stolen, or damaged personal belongings.

Students should keep valuables with them at all times and avoid leaving items unattended.

Items left behind will be handled as follows:

Items聽such as clothing, water bottles, notebooks, etc. will be placed in the聽Esports Room Lost & Found.

The聽room鈥檚聽Lost & Found will be聽cleared at the end of each Fall and Spring semester, and remaining items will be discarded or donated.

Electronics, wallets, IDs, or other high-value items聽found in the room will be taken to the聽Moseley Center.

All students must help聽maintain聽a secure and trustworthy environment.

Do not touch or move another student鈥檚 personal items or equipment without permission.

Report any suspicious behavior or concerns聽immediately聽to the聽Room Monitor聽or Campus Recreation staff.

Students found stealing or聽attempting聽to steal university or聽personal property聽may face immediate removal, suspension from the room, and referral to the聽Office of Student Conduct.

The Esports Room encourages healthy gaming habits and personal wellness.

Students should:
Take聽regular breaks聽to prevent fatigue and eye strain.
Hydrate聽frequently, water bottles are allowed if kept away from equipment.
Stretch hands, wrists, and shoulders periodically to reduce discomfort.
Notify a Room Monitor聽if聽feeling聽unwell or if another student聽appears to need聽assistance.
